What is Klara?
Klara is a task management application based on the Eisenhower Matrix framework. It helps you prioritize tasks by automatically categorizing them into four quadrants: Now (urgent and important), Later (important, not urgent), Maybe (urgent but not as important), and Skip (neither). The app focuses on clarity and calm, reducing cognitive load for busy brains.
What is the Eisenhower Matrix?
The Eisenhower Matrix is a time management framework popularized by President Dwight D. Eisenhower. It categorizes tasks based on two dimensions: urgency and importance. This creates four quadrants that help you decide what to do now, schedule for later, delegate, or eliminate entirely. Klara automates this categorization based on your task ratings.
How does Klara differ from Todoist?
Different philosophy: Todoist is a planning tool where you schedule when to work on tasks. Klara is a prioritization tool that tells you what to focus on right now.
Todoist approach: You set a date for when you'll work on a task, optionally add a deadline (Pro/Business), and manually assign priority (P1-P4). You build your schedule and decide what to tackle.
Klara approach: You set when something needs to be done (deadline), how important it is, and how long it will take (effort). Klara automatically calculates urgency and places tasks in Eisenhower Matrix quadrants. The "Now" quadrant shows only 1 task—the most critical thing requiring your attention right now.

Choose Todoist if you prefer planning your schedule and manually deciding priorities. Choose Klara if you want the app to calculate what's most urgent based on deadlines and tell you what to focus on.
Is Klara free to use?
Yes! Klara offers a Free tier with unlimited tasks, cloud sync, recurring tasks, and collaboration (up to 3 projects, 5 members each). No credit card required. Upgrade to Pro for custom dates, postpone feature, unlimited projects, and more collaborators. See the Pricing page for details.
Do I need an account to use Klara?
No. You can use Klara in "anonymous mode" without creating an account. Your tasks are stored locally in your browser. However, to access cloud sync and use Klara across multiple devices, you'll need to create an account (Free or Pro).
What languages does Klara support?
English and Swedish. You can switch languages anytime by clicking the globe icon at the top of the page.
Does Klara work offline?
Yes! Klara is a Progressive Web App (PWA) that works fully offline. All features work without an internet connection. For registered users, changes sync automatically when you're back online.
Features
How does automatic categorization work?
Klara uses a sophisticated quartile-based algorithm that considers: importance rating (1-5, set by you), effort estimate, and deadline proximity. Urgency is calculated automatically based on these factors - you don't set it manually. Tasks are automatically placed in the appropriate Eisenhower Matrix quadrant. The algorithm ensures balanced distribution and prevents overwhelm by limiting the "Now" quadrant to 1 incomplete task.
Why is the "Now" quadrant limited to 1 task?
Research shows that multitasking reduces productivity. Klara enforces focus by limiting your "Now" quadrant to a single incomplete task. This ensures you work on what truly matters without distraction. Once you complete the task, quadrants recalculate and the next highest-priority incomplete task appears in "Now".
Can I manually move tasks between quadrants?
Not directly. Klara automatically categorizes tasks to maintain objectivity. However, you can influence placement by adjusting: importance rating, deadline, or effort estimate. Urgency is calculated automatically based on these factors. These changes trigger automatic re-categorization.
What are recurring tasks?
Recurring tasks automatically reappear after completion. Available to all users. Set tasks to recur daily, weekly, or monthly. Perfect for: bills, weekly reviews, workout routines, team meetings, or any repeating activity. Choose catch-up behavior: strict (keeps original schedule, can create backlog if late) or roll forward (skips missed occurrences, always schedules next valid future date).
What are projects?
Projects allow you to organize tasks into separate workspaces. For example: a "Work" project for job tasks, a "Personal" project for home tasks, and a "Side Project" for specific initiatives. Each project has its own Eisenhower Matrix. Free users can create up to 3 projects, Pro users have unlimited projects.
Can I attach files to tasks?
No, this feature is not currently available.
Can students use Klara for schoolwork?
Yes. Klara is excellent for managing schoolwork alongside personal tasks. Students use it to:
- Track homework and assignment deadlines
- Manage study sessions and exam preparation
- Organize group projects and presentations
- Balance academic work with extracurriculars
Tip: Create a "School" project to keep academic tasks separate from personal activities.
Account & Sync
How does cloud sync work?
For all registered users (Free and Pro tiers), your tasks automatically sync to Supabase cloud storage. Changes sync every 15 minutes, when you return to the app, or when real-time collaboration occurs. Sync works in the background and uses Last-Write-Wins conflict resolution if the same task is edited on multiple devices.
Note: Anonymous (non-registered) users store data locally only.
What happens if I edit a task on two devices at the same time?
Klara uses "Last-Write-Wins" conflict resolution. The most recent edit (based on timestamp) will be kept. To avoid conflicts, complete your edit on one device before switching to another.
Can I use Klara on multiple devices?
Yes, with any registered account (Free or Pro tier). Sign in with the same account on any device (phone, tablet, computer). Your tasks automatically sync across all devices with cloud sync.
Can I export my data?
Yes. Click your avatar in the top right → "Export Tasks". Your tasks download as a JSON file. Use this for backups, data portability, or migration to other tools.
How do I delete my account?
Click your avatar in the top right → "Delete Account". This permanently deletes: all tasks, projects, subscription, and personal information. This action cannot be undone and complies with GDPR right to erasure.
Collaboration
How do I invite someone to collaborate?
You can invite members when creating a project (enable "Shared Project" toggle) or for an existing project: click the three-dot menu (⋮) next to the project name → "Manage collaborators" → "Invite members". Enter email addresses (up to 20 per invite) and click "Send invitations". Invitees receive an email with an invitation link. They must create a Klara account (free) to accept. Free users can have up to 5 collaborators per project; Pro users can have up to 50.
Do collaborators need a paid account?
No. Invitees can use a Free Klara account to access shared projects. The project owner's tier determines the collaborator limit (5 for Free, 50 for Pro). Collaborators won't have access to Pro features on their personal projects unless they also subscribe.
What's the difference between Coordinator and Member roles?
Coordinator (project owner): Full control. Can invite/remove members, edit/delete the project, and manage all tasks. Member: Can create, edit, complete, and assign tasks, but cannot delete the project or remove other members.
Can I share a project with someone who doesn't use Klara yet?
Yes. Send them an invitation email. They'll need to create a free Klara account to access the shared project.
How many people can collaborate on a project?
Up to 50 members per project for Pro users (5 for Free). This limit ensures performance and usability.
Subscriptions
How do I upgrade my subscription?
Visit the Pricing page to see available tiers and upgrade options. All paid subscriptions include a 14-day free trial.
Can I cancel anytime?
Yes. Cancel anytime by clicking your avatar in the top right → "Manage Subscription". This opens the Stripe customer portal where you can cancel or change your plan. You retain access until the end of your billing period.
What happens if I downgrade from Pro to Free?
Pro-only features become unavailable: custom date picker, postpone feature, and GitHub integration. Projects beyond the Free limit (5) are hidden but not deleted. Collaborators beyond the Free limit (5 per project) lose access. Your data is preserved and can be restored by upgrading again.
What happens if I cancel my subscription?
Your account downgrades to the Free tier at the end of the billing period. Unlimited tasks, cloud sync, and recurring tasks continue to work on the Free tier. Pro features (custom dates, postpone, GitHub integration, unlimited projects) become unavailable. Your data remains accessible across all your devices.
How do I manage my subscription and billing details?
Click your avatar in the top right → "Manage Subscription" to access the Stripe customer portal. From there, you can:
- Update payment method (credit card details)
- View billing history and download invoices
- Change subscription plan (upgrade/downgrade)
- Cancel subscription
- Update billing email address
All subscription and billing management is handled securely through Stripe.
Privacy & Security
Where is my data stored?
Anonymous users: Locally in your browser only. Registered users (Free and Pro): Secure cloud storage hosted in EU. All data is encrypted in transit (HTTPS) and at rest. We never sell or share your data with third parties.
Is my data secure?
Yes. We use industry-standard security: HTTPS encryption, secure authentication, database-level security, and regular security audits. Your password (if using email auth) is securely encrypted. We comply with GDPR for EU users.
Do you use my data for advertising?
No. We do not use your task data for advertising, analytics, or any purpose other than providing the Klara service. We use privacy-respecting analytics (Plausible for page views and Google Tag Manager for event tracking). Google Ads conversion tracking is enabled to measure signup conversions. No personally identifiable information is shared with advertising networks.
Can I see your privacy policy?

What analytics do you collect?
We use Plausible Analytics (privacy-respecting, GDPR-compliant) for page views and Google Tag Manager for event tracking. We track: page views, signup events, feature usage (e.g., task creation), and upgrade events. Google Ads conversion tracking measures signup conversions. No personally identifiable information (PII) is collected by our analytics. No cross-site tracking or user profiling.
Is Klara GDPR compliant?
Yes. We comply with GDPR (General Data Protection Regulation) for EU users. You have the right to: access your data, export your data (click your avatar → "Export Tasks"), delete your account (click your avatar → "Delete Account"), and opt out of non-essential analytics.
Technical
What browsers are supported?
Klara works on all modern browsers: Chrome, Firefox, Safari, Edge, and mobile browsers. We recommend the latest version for best performance. Internet Explorer is not supported.
Can I install Klara as an app?
Yes! Klara is a web app that can be installed on your device. On desktop: click the install icon in your browser's address bar. On iOS: tap Share → "Add to Home Screen". On Android: tap Menu → "Install app". The installed app works offline and feels like a native app.
Does Klara have a mobile app?
Klara is a web app you can install, not a native mobile app. Install it to your home screen for an app-like experience.
What happens if I clear my browser data?
Anonymous users: Your tasks are deleted (stored locally only). Registered users: Your tasks are safe in the cloud. Sign in again to restore your tasks. We recommend creating an account for data safety.
Can I use Klara on a tablet?
Yes! Klara is fully responsive and works on tablets, phones, and desktops. Use the same account across all devices for automatic sync.
Does Klara have keyboard shortcuts?
No, not at this time.
Can I integrate Klara with other tools?
No, integrations are not currently available.
What happens if I use incognito/private browsing?
When using Klara in incognito or private browsing mode, your tasks are stored in temporary browser storage. Important: All data will be permanently deleted when you close the incognito window. For persistent storage, use a regular browser window or create a Klara account for cloud sync.
Can I import tasks from a JSON file?
Yes! Click your avatar → "Import Tasks" → select your JSON file (previously exported from Klara). Choose import mode:
- Add mode (recommended): Merges imported tasks with existing tasks
- Replace mode: Clears all current tasks and replaces with imported data (use with caution)
How do PWA updates work?
Klara automatically checks for updates. When a new version is available, you'll see an "Update available" notification at the bottom of the screen with a "Refresh" button. Click "Refresh" to update immediately. Your data is preserved during updates.
What mobile gestures are available?
On mobile devices, you can:
- Swipe left or right on a completed task to archive it quickly
- Haptic feedback: Your device vibrates gently when you complete or swipe tasks (on supported devices)
These gestures make task management faster and more intuitive on touchscreens.
Troubleshooting
My tasks aren't syncing. What should I do?
Check: are you signed in? (Anonymous users don't have cloud sync). Is your internet connection working? Try refreshing the page. Sign out and sign in again. If the issue persists after trying all these steps, email [email protected] with your subscription tier, browser, and what you've already tried.
I forgot my password. How do I reset it?
On the sign-in page, click "Forgot password?" Enter your email address. Check your inbox for a password reset link. Click the link and create a new password. If you signed up with Google or GitHub, use that method to sign in.
I'm not receiving invitation emails. What should I check?
Check your spam/junk folder. Ensure the email address is correct. Add [email protected] to your contacts. Wait a few minutes (email delivery can take time). If still missing, contact support.
Why is the "Now" quadrant empty?
All your tasks are currently in other quadrants. Click on a "Later" or "Maybe" task and increase its importance rating or adjust its deadline to raise its priority, potentially placing it in "Now". Adding a deadline for today will significantly increase the calculated urgency. You cannot directly set urgency - it's calculated automatically.
I deleted a task by accident. Can I recover it?
No. Deleted tasks cannot be recovered. We recommend exporting your data regularly as a backup (click your avatar → "Export Tasks").
The app isn't loading. What should I do?
Clear your browser cache and refresh. Disable browser extensions (especially ad blockers). Try a different browser. Check your internet connection. If the issue persists, contact support with your browser version and error details.
